Overall Responsibilities
The Administrative Assistant provides general administrative services to the Center for Leadership and Management (CLM) West Africa Leadership and Management Strengthening Project (WA-LEAD) based in the Bobo Dioulasso, Burkina Faso office under the direction of the Senior Technical Advisor – Institutional Capacity Building.

The Administrative Assistant will provide administrative, logistical, and clerical support. The responsibilities will include the following: answering phones; faxing; filing; copying/binding/laminating documents; arranging courier services; typing correspondence; arranging and setting up for meetings and conference calls; assisting with the arrangements of trainings and workshops; drafting meeting minutes; and fielding inquiries. The Administrative Assistant will have primary responsibility for responding to all ad-hoc requests for administrative assistance. S/he will demonstrate outstanding personal ethics and conduct. The Administrative Assistant is aware of, and adheres to, MSH’s procurement integrity standards in all activities.
Specific Responsibilities
Reception Duties

1. Receive and direct all incoming phone calls, electronic and paper mail, and office guests.

Administrative Duties

1. Maintain general office systems including filing; coordinate timely timesheet submission; send, receive and distribute faxes; and photocopy documents as needed.

2. Arrange logistics for conferences and meetings, and help set-up events as needed.

3. Arrange logistics for workshops and trainings.

4. Coordinate and prepare mailings, including production, photocopying, assembling, posting and courier/shipping.

5. Prepare documents, including word-processing, editing, spreadsheets, and data entry.

6. Assist in the distribution of checks to vendors. This involves calling vendors to advise that checks are ready for pick up.

7. Maintain a thorough knowledge and understanding of project policies and procedures.

8. Organize mail, supplies, storage, and other office facilities.

9. Support any special projects, reports, and other duties as required.
Qualifications
Administration Diploma or relevant office experience.

2. Fluency in spoken and written English required.

3. 2+ years of administrative experience.

4. Strong administrative, organizational, and written and verbal communication skills.

5. Organized and able to work well under pressure.

6. Ability to work independently, takes initiative, and use good judgment.

7. Strong PC skill including knowledge of Microsoft Word, Excel, PowerPoint, Outlook, internet research and database use.

8. Ability to interact with professionals at all levels located in different parts of the world

9. Knowledge of USAID and other similar organizations a plus.
